What Your Day-to-Day Will Look Like:
💻 As an Executive Assistant to join our dynamic team supporting senior stakeholders at a London based leading private equity firm. This is an excellent opportunity for a skilled EA who thrives in a fast-paced, international environment and enjoys complex diary management across multiple time zones.
Provide exceptional support to senior professionals, managing their busy calendars with precision, coordinating extensive travel arrangements including flights, accommodation and ground transportation, and ensuring seamless scheduling across UK and international locations
Pivotal in maintaining smooth operational workflows, managing competing priorities, and ensuring that senior team members are equipped to focus on strategic initiatives
Involve proactive calendar management, liaising with internal and external stakeholders to arrange meetings, managing travel itineraries that often require last-minute adjustments, processing expenses, and maintaining strong working relationships with both the executives you support and the wider EA community
Highly organised with exceptional attention to detail, able to prioritise effectively in a demanding environment, and confident working across different time zones
Role requires flexibility with working hours to accommodate PDT business hours (typically 19:00-04:00 SA time during West Coast winter and 18:00 –03:00 during West Coast Summer), strong communication skills to liaise professionally with high-level stakeholders, and the ability to remain calm and solution-focused when managing competing priorities and urgent requests
Report directly to the EA Team Manager

Who We're Looking For:

Required experience or qualification in the field and apply your knowledge and skills with a pragmatic approach, always considering both people and commercial impacts
Challenge the status quo, and you are always looking for opportunities to add value, create efficiencies and positively improve business KPI’s
Requirements:
5-10 years' experience as an Executive Assistant or in a similar administrative/executive support role, ideally within the Investment, Financial Services, or Private Equity sectors
Experience supporting senior leadership or managing multiple high-priority tasks and projects simultaneously is highly advantageous
Proven experience working across multiple time zones to manage out-of-hours support for senior team members is advantageous
Salesforce or equivalent CRM experience (desirable, but not essential)
Familiar with Slack and Expensify: Advantageous
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) and virtual meeting platforms (Zoom, Teams, etc.)
Exceptional written and verbal communication skills (English)
Working knowledge of managing complex schedules, including coordinating meetings, travel arrangements, and events (Essential)
Proven ability to anticipate needs and proactively find solutions, making sound decisions in high-pressure situations with minimal supervision
Customer-oriented mindset, proactively identifying the need of individuals and teams and providing solutions that align with their goals
Working knowledge of project management methodologies and tools (e.g., Asana, Trello, or similar)
Provide remote administrative and operational support to the San Francisco office
Coordinate local vendors, office supplies, facilities, and other office requirements remotely
Organise team events and lunches, including bookings and logistics
Support office-related invoices and administration, liaising with Finance as required
You will be aligned with US West Coast business hours 09:00–18:00 (19:00-04:00/ 18:00-03:00 SA time, depending on daylight savings), with an additional requirement to provide remote after-hours support when needed. The role will observe US public holidays instead of South African public holidays
