The Administrative Coordinator will provide comprehensive support to the organization's administration and grant writing functions. This role is designed for early-career professionals and includes mentorship and training. Key responsibilities include: Office Operations: Manage day-to-day office activities, including scheduling meetings, coordinating travel arrangements, and maintaining office supplies. Ensure efficient workflow and support team members with administrative tasks. Grant Writing Support: Assist in researching funding opportunities, drafting grant proposals, and preparing supporting documents. Collaborate with the team to track deadlines and ensure timely submissions. Document Management: Prepare, edit, and format reports, correspondence, and presentations. Maintain organized filing systems for both physical and digital records. Communication: Serve as a point of contact for internal and external inquiries, directing them to appropriate staff. Draft and distribute memos, emails, and other communications. Data Entry and Record Keeping: Input and update data in databases and spreadsheets. Ensure accuracy and confidentiality of information. Meeting Coordination: Arrange meetings, prepare agendas, take minutes, and follow up on action items. Support virtual and in-person meeting logistics. Project Assistance: Provide administrative support for special projects, including research, data collection, and reporting. Hybrid Work Support: Manage tasks effectively in a hybrid work environment, balancing in-office and remote responsibilities as needed.
