岗位职责
As a Facility Assistant Intern, you will support the General Services team in managing and coordinating facility-related activities for the LVMH Beauty Italy division. Your primary responsibilities include:
Administrative Support: Assist in the preparation and management of facility-related documentation, including contracts, invoices, and reports. Maintain organized filing systems for service agreements and maintenance records.
Vendor Coordination: Liaise with external service providers (cleaning, maintenance, security, catering) to schedule routine services, track performance, and ensure compliance with company standards. Follow up on service requests and escalate issues as needed.
Space Management: Support the team in monitoring office space usage, coordinating moves, and assisting with layout changes. Help maintain an updated inventory of furniture, equipment, and supplies.
Health & Safety Compliance: Assist in implementing safety protocols, conducting regular inspections, and maintaining safety documentation. Support emergency preparedness activities and ensure adherence to local regulations.
Event & Meeting Support: Coordinate logistics for internal meetings, training sessions, and company events, including room setup, equipment arrangement, and catering requests.
Communication: Act as a point of contact for employees regarding facility-related inquiries. Distribute internal communications about maintenance schedules, safety updates, or service changes.
Project Assistance: Participate in facility improvement projects, such as sustainability initiatives or office renovations, by gathering data, tracking progress, and providing administrative support.
Reporting: Prepare regular reports on facility operations, including service performance, budget tracking, and incident summaries. Assist in analyzing data to identify areas for improvement.
This internship offers hands-on experience in facility management within a dynamic luxury beauty environment, working closely with cross-functional teams to ensure a safe, efficient, and pleasant workplace.

- Currently enrolled in or recent graduate of a Bachelor's or Master's degree program in Business Administration, Facility Management, Engineering, or a related field.
- Strong organizational and time management skills, with the ability to prioritize tasks in a fast-paced environment.
- Excellent communication and interpersonal skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Basic understanding of facility management principles is a plus.
- Ability to work collaboratively in a team and independently with minimal supervision.
- Attention to detail and problem-solving mindset.
- Fluency in Italian and English (written and spoken).
- Previous internship or work experience in an administrative or facility-related role is preferred but not required.
